Privacy Policy.

Aegis Digital (“we”, “us”) is a digital studio based in Cape Town, South Africa. We are the responsible party for the personal information described here.

When you send a project inquiry: your name, email address, company name (optional), the type of project and the message you write. We also keep the date it was sent and our own notes on it.

When you browse the website: which page was viewed, the website you came from (only its domain, for example “google.com”), and a random code that groups page views within a single visit. The code exists only while the page is open and is not stored on your device. We don’t record your name, IP address, device or location for these statistics, and we don’t record anything if your browser sends a “Do Not Track” signal.

Technical information: like any website, our hosting provider briefly processes your IP address to deliver pages and to protect the site from abuse, such as limiting how often a form can be sent.

We do not knowingly collect information from children, and we don’t ask for special personal information.

• To read and reply to your inquiry, and to discuss and quote for the project you describe.
• To keep a record of our conversations if we go on to work together.
• To understand which pages are useful, so we can improve the website.
• To keep the website and our systems secure.

We use your information for these purposes because you asked us to respond to you, or because it is in our legitimate interest to run and protect our business. We won’t add you to a mailing list or send you marketing unless you ask us to.

The public website does not set cookies and uses no third-party analytics, advertising or social media trackers. Our fonts are served from our own website.

Your browser may hold a small note for the length of your visit — for example, to return you to the same place in our project gallery when you come back from a project page. It is cleared when you close the tab and is never sent to us.

Cookies are only used in the private admin area, to keep Aegis Digital staff signed in. Because the public site doesn’t track you, there is nothing for you to accept or decline.

We don’t sell or rent your information. We use a small number of trusted service providers to run the website:

• Vercel hosts the website.
• Supabase stores inquiries and website statistics in a secured database (data centre in Frankfurt, Germany).
• Resend delivers the email notification we receive when you send an inquiry (servers in Ireland).
• Google provides the email inbox where we receive and answer inquiries.

These providers may process information outside South Africa. We only use providers that are bound to protect personal information to a standard comparable to POPIA, and they may only use it to provide their service to us. We will also share information if the law requires it.

Information is sent over an encrypted connection (HTTPS). Inquiries are stored in a database that only signed-in Aegis Digital staff can read, protected by access rules at the database itself. Staff access uses individual accounts and passwords. No system is perfectly secure, but if a breach affecting your information ever occurred, we would let you and the Information Regulator know as POPIA requires.

• Inquiries that don’t lead to a project are deleted once they are no longer needed, and within 24 months.
• If we work together, we keep project records for as long as the work continues and afterwards for as long as the law requires (for example, tax records).
• Website statistics are deleted automatically after 24 months.

Under POPIA you may:

• ask what personal information we hold about you, and for a copy of it;
• ask us to correct information that is wrong or out of date;
• ask us to delete information we no longer have a reason to keep;
• object to us using your information, including for direct marketing.

Email aegisdigitalstudio@gmail.com and we will respond within a reasonable time, normally within 30 days. We may need to confirm your identity first.

If you are unhappy with how we have handled your information, please talk to us first. You also have the right to complain to the Information Regulator (South Africa): inforegulator.org.za, POPIAComplaints@inforegulator.org.za.

Our website links to other sites, such as Instagram, TikTok and the websites of our software products. Their own privacy policies apply once you leave aegisdigital.co.za. Each Aegis Digital software product has its own privacy policy covering the accounts and data in that product.

If we change how we handle personal information, we will update this page and the date at the top. Significant changes will be made clear on this page.
